&lt;/ul&gt; 
&lt;p&gt;&lt;span&gt;If a vendor can't answer these questions, that tells you something.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;How to Use Predictive Applicant Scoring Without Handing It the Keys&lt;/h3&gt; 
&lt;p&gt;&lt;span&gt;Use it to prioritize and plan, never to reject. A person should own every decision, and your process should make that ownership obvious. Then compare predictions to what actually happened at the end of each cycle.&lt;/span&gt;&lt;/p&gt; 
&lt;p&gt;&lt;span&gt;If you're starting from scratch, start with enrollment. It's the lowest-risk, highest-payoff forecast, and it doesn't put anyone's candidacy on the line.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;Your Next Step&lt;/h3&gt; 
&lt;p&gt;&lt;span&gt;Before you buy anything, pull your last three cycles and line up interviews extended, offers made, and students enrolled. &lt;p&gt;A lot of "advising" tools started life as admissions platforms and had a tracking module added later. Ask directly: was this tool built for the post-admission journey, or retrofitted based on your other software offerings? The answer usually shows up in &lt;strong&gt;how well the tool handles situations that are specific to advising, &lt;/strong&gt;such as leave of absence tracking, milestone documentation, and multi-touch outreach.&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;Who owns the configuration once we're live?&lt;/h3&gt; 
&lt;p&gt;Get specific here. Can your team add a new milestone or adjust a workflow without opening a support ticket? Or does every change route through the vendor's team, with a queue and a turnaround time attached? Neither answer is automatically wrong, but you want to know which one you're signing up for, because it changes how nimble you can be on an ongoing basis.&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;How does the system handle a student taking a leave of absence?&lt;/h3&gt; 
&lt;p&gt;&lt;span&gt;LOA tracking is one of those things that sounds minor until it isn't. Ask how the tool documents timelines and reasons, tracks return-to-curriculum status, and keeps that history visible to the right people. If the vendor's answer is vague or involves a workaround with spreadsheets, that's worth noting now, not after your third LOA case of the semester.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;When an advisor flags a student, who else sees it, and how fast?&lt;/h3&gt;

Does it trigger a notification, land in someone's queue, or just sit in a field nobody checks? Early intervention only works if the system actually makes information actionable and accessible.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;Can we define "at risk" ourselves, or is the criteria fixed?&lt;/h3&gt; 
&lt;p&gt;&lt;span&gt;Every program has its own risk signals: a missed milestone, an academic warning, a pattern in attendance. Ask whether you can build your own criteria for flagging students, or whether you're stuck with whatever the vendor decided matters. &lt;/span&gt;&lt;strong&gt;&lt;span&gt;A rigid, one-size-fits-all risk model is a red flag, &lt;/span&gt;&lt;/strong&gt;&lt;span&gt;since your program's definition of "falling behind" almost certainly doesn't match a generic template.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;Can our team pull reports without submitting a request?&lt;/h3&gt; 
&lt;p&gt;This one gets overlooked in the sales process and becomes a daily frustration in year one. Ask to see an actual report built live, not just a sample, static dashboard. If your dean asks for a specific cut of retention data on a Tuesday afternoon, can someone on your team generate the report that day, or does it require the vendor's involvement?&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;What's included in onboarding, and what happens after month three?&lt;/h3&gt; 
&lt;p&gt;&lt;span&gt;Ask for a real timeline: who's assigned to your account, how many training sessions are included, and what support looks like once the initial rollout is behind you. I&lt;/span&gt;&lt;strong&gt;&lt;span&gt;'d also ask what typically goes wrong during implementation for programs like yours. &lt;/span&gt;&lt;/strong&gt;&lt;span&gt;A vendor who answers that honestly is telling you something useful; one who says "nothing, really" is telling you something too.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;What happens to our data if we ever leave?&lt;/h3&gt; 
&lt;p&gt;Nobody likes asking this one before they've even signed, but it matters. &lt;strong&gt;Can you export your full student history in a usable format?&lt;/strong&gt; Is there a fee or a waiting period attached? A vendor confident in their product shouldn't flinch at this question, and their answer tells you a lot about how they think about the relationship.&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;Key Takeaway: Bring the List, Not Just the Questions&lt;/h3&gt;

&lt;h3 style="font-weight: normal;"&gt;Where Spreadsheets Fall Short&lt;/h3&gt; 
&lt;p&gt;&lt;span&gt;Spreadsheets aren't the villain. They got you this far, and they're flexible and familiar. But they weren't built for the complexity of student success work.&lt;/span&gt;&lt;/p&gt; 
&lt;p&gt;&lt;span&gt;They only tell you what someone typed in. Nobody gets a nudge when a student's status changes. Someone has to open the file, notice, and care that day.&lt;/span&gt;&lt;/p&gt; 
&lt;p&gt;&lt;span&gt;This extensive history and data often lives with one person, too. A student's story gets split between an advisor's inbox, a personal drive, and a note in cell F42. When caseloads shift or an advisor leaves, the vital context doesn't transfer.&lt;/span&gt;&lt;/p&gt; 
&lt;p&gt;&lt;span&gt;Then there's version control. Two advisors, two copies, one student. Which one is right?&lt;/span&gt;&lt;/p&gt; 
&lt;p&gt;&lt;span&gt;None of this is your team's fault. It's what happens when a tool built for tables gets asked to run an early-warning system.&lt;/span&gt;&lt;/p&gt; 
&lt;h3 style="font-weight: normal;"&gt;The Metrics Worth Tracking&lt;/h3&gt;

 &lt;li&gt;&lt;span&gt;At-risk status: who's flagged, why, and what's been done about it&lt;/span&gt;&lt;/li&gt; 
 &lt;li&gt;&lt;span&gt;Leave of absence (LOA) activity: who's on leave, since when, and the plan for return&lt;/span&gt;&lt;/li&gt; 
 &lt;li&gt;&lt;span&gt;Retention and on-time graduation, broken out by cohort so patterns show up&lt;/span&gt;&lt;/li&gt; 
 &lt;li&gt;&lt;span&gt;Advisor touchpoints: when each student was last contacted, and by whom&lt;/span&gt;&lt;/li&gt; 
&lt;/ul&gt; 
&lt;p&gt;&lt;span&gt;That last one is underrated. A student nobody has talked to in months is a data point too.&lt;/span&gt;&lt;/p&gt; 
&lt;p&gt;&lt;span&gt;Be wary of vanity metrics. A dashboard with 40 numbers and zero decisions is just a prettier spreadsheet. For every metric, ask: if this number changes, who does what?&lt;/span&gt;&lt;/p&gt;

&lt;p&gt;Ask any vendor to show you their most customizable client's setup, not just the default demo flow. If they can't, that tells you something.&lt;/p&gt; 
&lt;h3 style="font-size: 18px;"&gt;Communication that doesn't live in just five people's inboxes&lt;/h3&gt; 
&lt;p&gt;When applicant and reviewer communication is scattered across individual email threads, you lose institutional memory the moment someone leaves the office. &lt;span style="font-weight: bold;"&gt;A shared, searchable communication history&lt;/span&gt; (whether through email or text) is one of the least glamorous features, yet one of the most valuable.&lt;/p&gt; 
&lt;h3 style="font-size: 18px;"&gt;Reporting you can hand off without translating it first&lt;/h3&gt; 
&lt;p&gt;At some point, you'll need to produce analytics reports for a dean, a board, or an accreditor. The question isn't whether the software can generate a report (most can). &lt;p&gt;Showing up to your internal IT review with these answers already in hand tends to move things along a lot faster and easier.&lt;/p&gt; 
&lt;h2 style="font-size: 24px;"&gt;Red Flags to Watch For in a Demo&lt;/h2&gt; 
&lt;p&gt;A few things I'd treat as red flags during an admissions software demo:&lt;/p&gt; 
&lt;ul&gt; 
 &lt;li&gt;The vendor can't show you the system handling a review process as complex as yours, only a simplified version.&lt;/li&gt; 
 &lt;li&gt;Every question about customization gets answered with "our team can build that for you" instead of "here's how you'd configure that yourself."&lt;/li&gt; 
 &lt;li&gt;There's no clear answer on data portability.&lt;/li&gt; 
 &lt;li&gt;The AI or automation features are described only in terms of what they do, never in terms of what decisions stay in your team's hands. Automation should give staff time back, but it shouldn't be making judgment calls that belong to a human reviewer.&lt;/li&gt;

Financial aid documents need to be completed and processed. Immunization records need to be collected, reviewed, and tracked against program requirements. Background checks need to be initiated and cleared.
